Why the name MeloCare?

MeloCare comes from the Greek μέλω, “to care” or “to be a concern to someone.” In the clinic, that means care does not end when the exam-room door closes. An office that makes sure a patient understood the diagnosis, remembers the medication purpose, and knows what to ask next is an office that cares past the appointment. The same root reaches μέλος, “member” — a reminder that continuity, not a single visit, is what keeps a patient connected to their care. MeloCare is the memory aid and translator that lets your practice show that concern without adding work to your staff.

No integration, no login for staff, no patient information typed into MeloCare by your team. The patient carries their own record.

We translate, we never edit

Your clinicians write the diagnosis, the plan, and the instructions using the precise medical language they were trained to use. MeloCare does not change a single word of that. It stays on the page exactly as the clinician wrote it.

What MeloCare adds is a short, plain-English companion next to it — written at about an 8th-grade reading level — so the patient can say, “Oh, that is what that means for me.” The medical record is unchanged; the explanation is just a translation layer that helps the patient and the caregiver follow the conversation.

Six minutes of setup, once

You add your clinicians, phone numbers and after-hours line one time. That produces a permanent QR code and link for the practice. Nothing changes per patient, so there is no visit-by-visit work and no patient data entry.

No patient data on our servers

The patient types or pastes their own information into their own phone. It never leaves that phone. There is no central database, no patient identifier, and no account for the patient to remember. The office only supplies a generic QR code and a phone list.

If a patient wants MeloCare on a laptop too, or loses their phone, they can save a passphrase-locked backup file from their own device and open it on the new one. The file is encrypted in their browser and is never uploaded, so it does not create a record for the practice, for MeloCare, or for anyone else to hold.

Privacy, HIPAA, and what the clinic does not see

The following statements describe how MeloCare is structured to minimize legal and compliance risk for the practice. They are not a substitute for advice from your own health care attorney or compliance officer.

What happens if a patient loses the phone they used?

MeloCare provides a patient-controlled export: the patient may generate an AES-encrypted backup file, secured by a passphrase known only to them, entirely within their own browser. The file is not transmitted to, received by, or retained by MeloCare or by the practice. MeloCare cannot decrypt this file and neither can your practice — only the patient’s passphrase opens it, and if it is lost, no one can recover the file. The printed care packet remains available as a paper record the patient controls.

Does MeloCare create HIPAA liability for our practice?

MeloCare is built so that the health information a patient enters stays on that patient’s own device. We create no patient account, issue no patient identifier, and keep no patient records.

There is one exception, and the practice should understand it. When a patient uses Ask MeloCare, their question and a copy of their saved care profile are sent through MeloCare’s servers to our AI provider so that an answer can be generated. That information is used to produce the answer and is not written to any MeloCare database. The same is true when a patient photographs a visit summary or a medication label. Patients can use every other part of MeloCare — the organizer, the medication list, the task board, the printable packet — without any information leaving the device.

The only information the practice supplies is a generic practice profile: name, clinicians, disciplines, and phone numbers. It contains no patient identifiers.

Your compliance officer should evaluate MeloCare under your own policies. MeloCare is in pre-launch and is not offered to clinics as a HIPAA-ready service until a business associate agreement and our security documentation are in place and confirmed in writing.

Does anyone at the clinic see what the patient enters?

No. Clinic staff cannot view patient workspaces, cannot see the patient’s condition, medications, supplements, notes, or chat history, and do not receive any dashboard, report, or alert containing patient-entered information. The patient is the sole user of their own workspace.

Does anyone connected to the Church Edition see patient information?

No. The Church Edition and the Clinic Edition run on the same application with separate configurations. No church administrator, sponsor, volunteer, or ministry leader has any route to information a patient creates through a clinic QR code — that information is never stored on our servers at all.

What patient information does MeloCare actually store?

MeloCare stores only the generic practice profile created during setup: practice name, clinician names, disciplines, phone numbers, and after-hours instructions. The patient-entered health information exists only in local storage on the patient’s own device. There is no cloud backup, no patient identifier, and no patient account.

Is a breach of patient information possible?

No digital tool can guarantee zero risk. However, because patient data remains local to the patient’s device, there is no MeloCare-hosted central repository of patient PHI for an unauthorized party to target. The patient is responsible for the security of their own device and any printed care packet they choose to share.

Does the clinic endorse any faith content shown to the patient?

No. The Clinic Edition opens with no scripture or religious content. The patient may privately choose to enable optional faith-based encouragement for their own use; the practice never selects it, never views it, and does not administer, recommend, or endorse it.

Included: the part nobody bills for

Every patient workspace includes a mind, body and spirit section — plain coping skills borrowed from psychology for the waiting, the 3 a.m. hours, the fatigue and the caregiver who is running out. It costs the office nothing and requires no referral.

It opens with no faith content at all. The patient can privately turn on Scripture or another tradition for themselves; the practice never sets it and never sees it. Anything that sounds bigger than a coping tool points straight at a real person — your social worker, a counselor, or the 988 line.
