MeloCare Clinic Edition is a practice-paid educational organizer. It is not a clinical service, not a medical device, and not billed to patients.
What MeloCare is for billing purposes
MeloCare is an educational organizer and memory aid for patients and caregivers. It explains diagnoses and medications in plain English, structures visit notes, and keeps a task list. It does not diagnose, dose, judge safety, or replace the care team.
Because MeloCare does not deliver covered clinical care, there is no standard CPT or insurance code for the subscription itself. The clinic pays for it as an overhead and quality-improvement expense.
Why it is a legitimate business expense
- What the tool does. It sends the patient home with their diagnosis in plain English, a medication and supplement list, and a structured record of the visit.
- Patient-facing education. The material the practice would otherwise print, explain again by phone, or leave to memory.
- No per-visit work. Setup happens once; there is no patient data entry and nothing for staff to maintain between visits.
MeloCare makes no claim about call volume, patient-experience scores, error rates, or quality-program credit. Any expectation of that kind is the practice’s own to evaluate.
Time-based billing
MeloCare is not clinical staff time and no MeloCare activity may be counted toward any time-based billing requirement, including chronic care management, principal care management, annual wellness visits, or digital evaluation and management services.
What not to do
- Do not bill the patient for the MeloCare subscription directly.
- Do not bill insurance for the subscription as a standalone charge.
- Do not count patient time in MeloCare toward any time-based code.
- Do not represent MeloCare as providing covered clinical advice or clinician services.
Pricing
$279 per office per month covers up to 100 active patient workspaces. Each additional band of another 100 workspaces is $99 per month. Larger offices move to a custom multi-site plan.
